How to choose an event florist

Start with fit, not price

Florists have styles the way photographers do. Scroll a shop's recent work — their Instagram or gallery — and ask one question: does what they naturally make look like what you want? A florist whose portfolio is lush garden work will do your wildflower wedding beautifully and your sleek monochrome corporate install reluctantly. Style fit found early makes every later conversation easier and every quote more accurate.

Five questions that do most of the work

• “Have you worked at my venue, or ones like it?” Venue familiarity means they already know the load-in, the light, and what the space swallows visually.
• “How many events do you take per weekend?” Good shops cap their calendar. A florist who says “just yours that day” or “two, with separate teams” is telling you something valuable.
• “What's your substitution policy?” Flowers are agricultural — something in your palette will be short some week. Pros answer this instantly and happily; hesitation is a tell.
• “Is delivery, setup, and teardown in the quote?” The most common source of surprise costs, especially for installations that must come down the same night.
• “What's the deposit and cancellation schedule?” Standard is a deposit to hold the date with balance due near the event — in writing.

Red flags

One lump-sum number with no itemization. No written agreement. Defensiveness about substitutions. And the big structural one: order-gatherer websites that look local but relay your event to an unnamed shop while keeping a large cut — fine, maybe, for a birthday bouquet; unacceptable for custom, timing-critical event work where you need to know whose hands are on your flowers. If you can't name the florist, keep looking.

Compare scope, then price

Quotes only compare when the scope matches. A $2,800 quote including a ceremony installation, delivery, setup, and teardown routinely beats a $2,200 quote without them. Line quotes up item by item — bouquets, installation size, centerpiece count and style, service — before you look at bottom lines. And when quotes differ wildly, it's almost always a scope difference, not a markup: ask each florist what the other's number is missing.
